This Privacy Policy explains how Vaichii.com ("I," "me," "my," or "the Site") collects, uses, and protects your information when you visit or make a purchase.
1. Information I Collect

- Contact information: Name, email address when you reach out or place an order
- Order information: Name and email when placing a digital download or commission order
- Commission details: Character references, descriptions, and preferences
- Chat messages: Conversations with Vai.Bot, including any contact or order details you choose to share
Information Collected Automatically
- Basic site analytics: Page views, referral information, device type, and browser information through Vercel Web Analytics
- Performance data: Core Web Vitals for site optimization (via Vercel Speed Insights)
- Optional Google Analytics data: If you accept analytics, Google Analytics measures page visits, campaign links, and useful interactions such as commission-form activity and outbound Etsy clicks
Commission-form contents are never sent to analytics. This includes your name, email address, project description, reference links, and uploaded files.

- Understand which pages, campaign links, and shop or commission paths are useful after you accept analytics
- Respond to your questions via Vai.Bot or email

I use the following third-party services to operate this site:
- Stripe: Payment processing (Stripe Privacy Policy)

- Vercel: Website hosting and analytics (Vercel Privacy Policy)
- Google Analytics: Consent-based site and campaign measurement (Google Privacy Policy)
- Supabase: Database services and Vai.Bot conversation history (Supabase Privacy Policy)
- OpenAI: Vai.Bot AI responses and the internal social growth plan described below (OpenAI Privacy Policy)
- Resend: Transactional and system-generated email delivery (Resend Privacy Policy)
- Google Workspace: Direct support email and correspondence (Google Privacy Policy)
- Discord: Internal handling of Vai.Bot human-help requests and operational notifications (Discord Privacy Policy)
- Printful: Physical-product fulfillment (Printful Privacy Policy)
4. Social Growth Analytics for Vai.chii Accounts
After Frida explicitly authorizes Vaichii through the official Instagram or TikTok access process, Vaichii reads aggregate account and post analytics. Vaichii uses this information only to prepare one internal weekly social growth plan.
- What is stored: Normalized metrics and content metadata are stored for up to 24 months. Vaichii follows any shorter retention period required by a provider's terms or by a deletion request.
- What is not stored: Vaichii does not store raw media, provider captions, comments, follower identities, passwords, authorization codes, or raw API responses.
- OpenAI processing: Vaichii sends OpenAI only the minimum aggregate fact package and a creative brief that Frida approved. The single weekly request uses
store=false, explicit prompt-cache mode, and no cache breakpoints. - Who receives the report: The weekly report is sent only to Frida.
- Revocation and deletion: A provider revocation or deletion request stops Vaichii's access and triggers the required purge of stored provider data.
5. Cookies and Browser Storage
This site uses browser storage for features you request:
- Local and session storage: To maintain your shopping cart, checkout state, VaiBot session, and analytics preference
- Google Analytics cookies: Used only after you choose “Accept analytics”
Vercel Web Analytics and Speed Insights do not require analytics cookies. Declining Google Analytics does not prevent you from using the site, shopping, or contacting me.
You can change your choice at any time. The new setting applies to future analytics activity on this browser.
6. Data Retention
- Order information: Retained for tax and legal purposes
- Commission communications: Retained for reference and portfolio purposes
- Vai.Bot conversations: Retained in Supabase until deleted
- Google Analytics user and event data: Configured for 14-month retention
- Aggregated analytics reports: Retained for up to 24 months
7. Your Rights
You have the right to:
- Request access to your personal data
- Request correction of inaccurate data
- Request deletion of your data (where legally permissible)
- Opt out of marketing communications
- Decline or change optional Google Analytics collection on this browser

I take reasonable measures to protect your information:
- Payments processed securely via Stripe (I never see your full card number)
- Website served over HTTPS
- Database access restricted and encrypted
However, no method of transmission over the Internet is 100% secure.

This site is not intended for children under 13. I do not knowingly collect personal information from children.
10. Changes to This Policy
I may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects the most recent revision.
